About the Role
The Producer of an event is responsible for dealing with internal and external issues regarding the project in question.
Requirements
GENERAL RESPONSIBILITIES
First meeting with the bride and groom and all HOK team members involved in the project. This first meeting will be to brainstorm ideas and concepts for the event
First design proposal, general presentation of the event: Proposal, entrance tunnel, general decoration, structures and facilities, new or existing furniture, stage and pallets finish; tent and fabric; Table setting, food stalls, dancefloor, junk bar and special areas requested by the client. If there is a happening, outfit proposal for performers
First floor plan proposal that shows: circulations, bars, kitchen, ceiling installation, access motives, types of furniture, lighting, power plant location, general accesses, levels, kitchen accesses, kitchen corridors, kitchen tent dimensions, partitions with measurements, tent square meters and heights. (All perfectly leveled and labeled.)
Design of proposed structures and scenography for the project
Dance Floor design
Delivery of first design proposal on ipad to client:
Make sure to have available ipads in stock
Ask for the presentation and plans to be uploaded by Media Team
Ask Sari for the client’s giftbox
Send the project by parcel
Make sure that the ipad reaches its destination
Project presentation to client over a zoom call or in the office
Supervision of project
When someone new comes into the team, explain how things work, aid them to know the process of everything, share formats and fonts.

SCENOGRAPHY RESPONSIBILITIES
Presentation for quotation of structures and scenography, with diagrams, reference photos and explanations.
Follow-up of the quote with several set designers, and review changes in quote with them and HOK Budget team
Review scenography in the warehouse and quote its installation
FURNITURE RESPONSIBILITIES
Check availability of furniture and review furniture conditions
Quote covers and cushions if they are petitioned by client
Quote furniture with external suppliers
Design and quote new furniture
Quote new furniture
SCOUTING AND MONITORING WITH SUPPLIERS
Scouting with suppliers at venue
Meeting/Calls with suppliers for set up logistics
Meeting/Calls with suppliers to explain the project (stage, tent, scenography, lighting, sary, fiori, etc).
RENDERING RESPONSIBILITIES
Quote and wait for approval of renders
Presentation of renders, call renderists and explain project
Review and make changes to renders with the renderists
Search for new renderists
STRUCTURAL PLANS AND 3D MODELING
Detailed final plans with marked scenography
Elevations, sections and isometrics, etc. of scenography for each project
Make 3D models of scenography
Regular update of the scenography quote with actual plans
FLOWER TEST RESPONSIBILITIES
Request Living furniture for Flower Test
Request outdoor furniture (if needed) for Flower Test
Request material samples from suppliers (pallets, carpets, fabric etc)
Ask for scenography samples (in case of large projects)
Go for flatware when nobody can bring it.
JUNK BAR DESIGN
Check required length with Sari for JB
Explain project and redesign if necessary
Send graphics and plan explaining JB
Check proposed graphics
Choose colors for product design
Send electrical and technical specifications to Light and Audio
